Fax machines connect to standard telephone lines using the RJ-11 connector. Begin by connecting the LINE port on the fax machine to the wall telephone jack. If you also use a telephone handset on the same line, connect it to the EXT or TEL port — this allows the fax machine and telephone to share the line without interfering with each other.
Configure the fax machine's settings including your fax number, date/time, and the number of rings before the machine auto-answers. For offices receiving both voice calls and faxes on the same number, set the machine to manual receive mode, which only activates the fax function when you press Receive. For dedicated fax lines, auto-answer after 2 rings is typical.
Place the document face-up in the ADF or face-down on the glass. Dial the recipient's fax number from the keypad and press Start. The machine will dial, establish a connection with the receiving machine, and transmit the document page by page. A confirmation sheet prints after successful transmission showing the number, time, and number of pages sent.
High-quality photo printing requires matching the paper type to the printer driver settings. Load photo paper (glossy, matte, or semi-gloss) in the correct paper tray or manual feed slot. In the print dialog, select the matching paper type — selecting "Plain Paper" while printing on glossy photo paper results in over-saturated, smeared colors as the ink is applied in quantities appropriate for absorbent plain paper, not coated glossy media.
Set the print quality to Best or Maximum for photos. This increases the number of print head passes, using smaller ink dots for a smoother appearance with less visible graininess. For borderless printing, select a paper size that matches the photo paper you loaded and enable the "Borderless" option in the printer properties dialog.
If printed photos appear too warm, cool, or otherwise color-inaccurate, run the printer's color calibration or alignment procedure from the maintenance tools. This recalibrates the print head positioning and color output. Also ensure the paper profile selected in the software matches the specific paper you are using — different brands and finishes have different color profiles for accurate reproduction.

WPS pairing has a 2-minute window that starts when the first button is pressed. If the connection fails, it is often because the buttons were pressed more than 2 minutes apart. Try again, pressing the WPS button on the router first, then immediately on the printer within 30 seconds. If WPS fails consistently, disable WPS on your router and use the manual wireless setup wizard instead — this is also the more secure approach.
Photos printing darker than the screen display is a monitor calibration issue, not a printer fault. Computer monitors are backlit and appear much brighter than reflected light from printed paper. Adjust your print settings to add +10–15% brightness before printing. Alternatively, calibrate your monitor using built-in OS tools (the built-in color management tool, the built-in display calibrator) to bring screen appearance closer to print output.
Fax transmission failures usually stem from poor telephone line quality, incompatible settings, or the receiving machine being busy. Try reducing the fax transmission speed in the fax machine settings (from V.34 to V.17 or lower) — this makes the connection more robust over noisy phone lines at the cost of slightly longer transmission times.
